Gen AI Events collects Personal Data (hereinafter also “Data”) in case you choose to register with Gen AI Events™ service.

We ask users to provide following Data:

• first and last name, organization name – to identify users and display a unique username in Gen AI Events™ accounts (“Accounts”);

• email address – to authenticate users, provide access to Accounts and help them recover password to access to Accounts;

Aforementioned Data is collected only upon, You either enter particular information or upload it on Your own initiative using other features of Gen AI Events services.

We also collect following technical data:

• IP address – to help diagnose problems with our server and to administer our application and to identify you and your time spent at our application to understand which parts of our application users are visiting and provide better user experience;

• Location (based on the IP address);

• Operation Device & System and Internet Browser data;

• Other data. Please refer to “Third-party service providers” section of this Policy.

If you choose not to register or provide Personal Data, you can still use our website anonymously. But you will not be able to access areas that require registration.

We send 2nd opt in via email to our delegates for confirmation. Technical data is recorded automatically when you visit our website or use our service and is generally anonymous (does not reveal users identity). However, if you are logged into your Account some of this information could be associated with your Account.

We do not link IP addresses to anything personally identifiable. This means, for instance, that a user’s session will be tracked, but the user will remain anonymous. We do not use this information for any other purposes.

How long Data is used

Your Data is stored and processed only when your account is active until you delete or deactivate it. Account can be deactivated temporarily or deleted permanently at any time using the appropriate options in portal settings or by email to us on info@Gen AI Eventsevents.com. If you chose to delete your Account, it will be permanently deleted within 60 days. In case if your Account is inactive for 180 days, it will be scheduled for removal and permanently deleted after another 60 days. You can ask us to restore Data until it’s permanently deleted.

How you can control your Data

You have various rights to control use and processing of your Personal Data and other information. This means that you are entitled to request us to take certain actions at any time and free of charge.

Data portability right. You have the right to request a digital copy of your Data in a structured, commonly used and machine-readable format to be able to move from one service to another. Right to erasure (“Right to be forgotten”). You are eligible to delete certain Data from our site and services. If you choose to delete your Data, it will become unavailable and will be completely deleted in 60 days upon your delete request. Please, be aware, that sometimes we have to store some Data for a longer period of time either due to technical limitations or to comply with the law.

Underage

Gen AI Events does not intentionally collect Personal Data from persons, who are minors under their applicable local legislation. Gen AI Events may update this Privacy Policy from time to time. We encourage you to review this privacy statement for any changes occasionally. If any changes are made to the way in which we treat your Personal Data, we will inform you about such changes via email or by posting a note on our application.

Data Transfer

Gen AI Events has business operation all over Europe including but not limited to Germany or United Kingdom. The technical headquarter and research facilities are arranged for the development of the Gen AI Events website which is located in India. We may transfer data within these regions for the internal development purpose.

Data Protection

• Gen AI Events agrees to keep clients’ information confidential in its database.

• The client gives Gen AI Events the authority to keep their information in its database and use the information in any way necessary in connection with the event, otherwise consent should be sought.

• Client information will be removed immediately after receiving a request from the respective client.

Payments

• Payment should be made in full immediately after submitting the registration form

• Payment should always be made in Pounds, Dollars, Euros unless indicated otherwise.

• Gen AI Events accepts all kinds of debit and credits cards. Bank Transfer option may be allowed only on the condition that the payment is processed within 3-4 working days upon receiving the proforma invoice.

• The fee of the event includes the possibility to download speakers’ presentations, access to the conference hall & materials, refreshments, lunches and snacks.

• In case the payment is not processed before the final due date, Gen AI Events reserves the right to cancel the registration of the respective attendee. Overdue payments can be charged with a statutory interest rate of 8%.

• Each delegate will be responsible for their own hotel accommodation and travel expenses, however Gen AI Events will negotiate and offer the best possible hotel rates for its delegates in the same 4-star or 5-star hotel in which the event will take place.

Cancellation Policy

• Incase a delegate would like to cancel their participation for some unexpected eventualities, such requests must be submitted at least 4 weeks prior to the event in order to obtain a full credit note for any future event organised by Gen AI Events. The fees charged are strictly non-refundable.

• Non-attendance, otherwise referred as a “no show” does not signify cancellation.

• Gen AI Events will not be held responsible for events cancelled for reasons beyond its control such as natural disasters, accidents, sabotage, trade or industrial disputes, outbreak of disease, hostilities, terrorism, etc. However, a full credit note would be given in each of these cases.

• Cancellation by Conference Delegate

• Gen AI Events organizes conferences, summits and webinar for which the delegate and exhibitor/sponsor has to register well in advance. This registration is deemed to be non-cancellable and non-refundable.
  
  
• Cancellation of Conference by Gen AI Events

• On rare occasion, due to lack of an economic number of attendees or other reasons, it may be necessary for Gen AI Events to cancel the event for which you are registered, registrants will be notified and provided with options for credits towards future events.
  
  
• Confirmation of Conference Registration

• Due to unforeseen circumstances, the program may change, and Gen AI Events reserves the right to alter the venue and/or speakers.

• All payment must be made by bank transfer at time of online registration. No cash will be accepted by our staff. All payments will be as per the services ordered as per quotation or contract and on mutually agreed terms. No refund is admissible after the event has been confirmed and/or work has started for the respective services.

Terms & Conditions

• All booking forms submitted without a signature are considered invalid.

• Gen AI Events reserves the right to postpone the event to a later date or make changes to the location or confirmed speakers.

• If a client decides to cancel their participation for these reasons the client will receive a full credit note which covers the amount paid to attend any future event organised by Gen AI Events

• The hotel information may not be provided at the time of booking but should be ready at least one month prior to the event.

• In such case, please bear with us.

• The information included in Gen AI Event’s Agenda is strictly meant for the company or person who directly received the agenda from Gen AI Events. Under NO circumstance should this agenda be published on the internet or be made available to the general public without the prior consent of Gen AI Events.

• All intellectual property rights in all materials produced and distributed by Gen AI Events in connection with this event are expressly reserved and any unauthorized duplication, publication or distribution is strictly forbidden.
